 Duties of the Secretary

1. Re-typing the application for membership form in the fall.

2. Submitting the incoming officers report via the web site to NCPA National Headquarters.

3. Assist the president in all correspondence, whether it is with headquarters, professors, other students, etc.

4. Taking minutes at all the meetings, executive and general, and posting the minutes where all members will have access (NCPA bulletin board).

5. Supervising the public relations committee. 

6. Posting various information regarding due dates, etc on the bulletin board.

7. Monthly submitting to NCPA Headquarters via the web site these forms: NCPA Student Chapter Activity Report and the NCPA Student Chapter Meeting Report.  (These forms are for Chapter of the Year.)

8. Submitting the Year End Report to NCPA via the web site.

9. Completing the Student Chapter of the Year application.  Throughout the year, all the forms you submit will aid in the application process for this award.  Check the application to see when the deadline is for that year (usually it is the end of May).  Criteria for this award includes:  the number of community service projects, the number of guest speakers at NCPA meetings, fundraising and attendance at NCPA national meetings.  You must document the events via the reports on the web so that the NCPA Student Advisor can be involved in the progress of our chapter.  Every involvement will help our chances at receiving the award.  It is important to have a large number of new members join NCPA, so advertise about the organization before the first meeting (fliers and email).  It is also very important to have a good turnout at national meetings.  It is up to the secretary to submit these reports and to submit the final application.  The Chapter of the Year application form can be downloaded in portable Document Format to be viewed and printed using the Adobe Acrobat Reader.

10. NCPA recognizes the top three chapters each year at the annual convention.  The winner receives a $2,000 cash award.  First runner-up and second runner-up receive $1,000 and $500, respectively.

11. Note, the activity report you should submit to headquarters should come from the committee chairs that held the activity.  They will write it up, give it to the vice-president for review and then be given to you to submit.  After the submission, return the form to the original committee member so they can have a copy in the binder.  This way, succeeding years can follow along on how to do the various documentation.

12. Check the constitution for clarification on duties.
